Activator Coach
Privacy policy
The short version
The coach uses outside AI and speech services. We save coaching conversations so you can return to them. Privacy filtering reduces identifying details but is not perfect. Please use fictional or generalized situations—not confidential, privileged or sensitive client information.
Who provides this service
AGI Future, LLC operates Activator Coach for DCM Insights (DCMI). This policy covers the production coaching website, its installed web app and connected mobile clients. DCMI and participating organizations arrange invitations and authorized access. For privacy questions, contact support@agifuture.ai.
Information we collect and why
- Account and access information: name, email address, sign-in identifiers, organization or access assignments, invitation status and roles. We use these to authenticate you, provide access and protect the service.
- Coaching conversations: messages you submit, generated answers, conversation titles, spoken-response text and related session information. These support coaching, saved history and troubleshooting.
- Optional voice: recordings you choose to submit for transcription and response text used for audio playback. Transcribed text may become part of your saved conversation. Recordings are not stored as audio attachments in your coaching history; temporary device/server processing and speech-provider handling are separate.
- Support and safety: response reports, support correspondence, deletion requests and AI-processing acknowledgment records. These help us resolve concerns, operate the service and honor your choices.
- Operational information: sign-in activity, network/device information, request identifiers, feature usage, timing, errors and provider usage/cost records. These support security, reliability and service administration.
We use necessary sign-in cookies or secure session storage, plus device/browser storage for preferences and app assets. The coaching service does not use advertising trackers or sell personal information.
Signing in with Google
If you choose Google sign-in, Google and Clerk provide basic identity information, such as your name, email address, profile image and account identifier. We use this information for sign-in, account display and matching your authorized access, and retain associated account information while your account is maintained. Google sign-in does not give the coach access to your Gmail messages, Google Drive files, contacts or calendar.
Privacy filtering has limits
Submitted text reaches our server over an encrypted connection. Local rules mask recognized identifiers; an enabled AI check may receive short excerpts around uncertain names. The resulting text is used for coaching and saved history. Names or identifying context can be missed, and masking does not make a conversation anonymous. For voice, the speech provider receives the recording before text-based filtering can occur. Do not submit client names, confidential deal details, passwords, privileged material or other information you are not authorized to share.
Who processes information
- OpenAI: receives coaching messages and relevant conversation context when configured as the coaching provider, and limited excerpts for enabled privacy classification.
- Anthropic: may process coaching context and generate conversation titles in configurations that use it. The AI-processing acknowledgment names the configured coaching provider.
- ElevenLabs: receives submitted recordings for speech-to-text and response text for Voice or Listen playback.
- Clerk and your chosen sign-in provider, such as Google: handle authentication and associated account/session information.
- Render: hosts the application, database and operational backups. Google Workspace: handles support email and operational alerts. Alert emails use request references and categories rather than copying coaching conversations.
- Apple, Google and Expo: support mobile distribution and app delivery as applicable; their services may handle installation and device diagnostics under their own terms.
Provider requests can include technical identifiers used for safety and service operation. Provider retention and processing depend on the service, account settings and applicable agreements. This policy does not promise zero retention by every provider or immediate deletion from their systems. For more information, see OpenAI’s API data controls, Anthropic’s privacy information and ElevenLabs’ privacy policy.
The production database is hosted in Ohio, United States. Service providers may process information in other countries where they operate. Contact support about your organization’s requirements before submitting sensitive information.
Access and security
Conversations are not public. Access is restricted by account and assigned permissions. Authorized AGI Future personnel and DCMI administrators may access account and usage information and, when needed for support, safety or service evaluation, coaching content. Other participants do not automatically receive access to your conversations.
We use encrypted connections, authenticated access and operational safeguards. No system or redaction process can guarantee complete security. We may disclose information when required by law or to address security threats, fraud or protection of users.
How long information remains
Account information and coaching history remain while your account is maintained, unless removed through the deletion process. Closing the app, signing out, withdrawing AI permission or ending a trial does not itself erase history. Security, usage, acknowledgment and support records are kept as needed for their stated purpose and applicable obligations; there is not currently an automatic fixed-age deletion schedule for every record.
Backups and protected recovery copies can retain older records separately from the live database and are restricted to recovery purposes. Some security, request-handling or legally required records may need to be retained after account deletion. We will explain applicable exceptions when handling your request rather than promise immediate removal from every backup or outside service.
Your choices
AI processing is necessary to provide coaching; voice features are optional. Before using coaching, you must check the AI-processing acknowledgment describing the outside providers and the information sent to them. Profile → AI processing lets you read the disclosure and withdraw permission. Withdrawal stops new AI and voice requests; requests already started may finish. It does not delete your account or history.
You can stop using the service, disable microphone access in your device settings, or contact support about access, correction, a copy of your information or other privacy rights available to you. We may verify your identity before acting. Please do not email passwords or confidential client information.
Use Report response on a coaching response to flag a concern within the app, or contact support. Authorized support personnel can examine the reported response and relevant context to investigate.
Request account deletion
Choose Profile → Request account deletion. If you cannot sign in or no longer have the app, email support@agifuture.ai from your account email with the subject “Activator account deletion request.” You do not need to reinstall the app. Identify this as your DCMI production account; do not include conversation text.
AGI Future handles requests manually within seven calendar days, verifies identity and confirms completion. The request does not instantly disable or delete anything. We remove your personal account and coaching history while preserving shared Activator content and other users’ data. Necessary retention exceptions are described above and will be addressed with you.
Updates and contact
The service is intended for invited adult professionals. We will update this page when practices change and seek a new acknowledgment when the disclosed AI-processing terms change. Questions or concerns: support@agifuture.ai.
